Privacy Policy
ByteVoice is an AI phone receptionist for Australian businesses. We take the privacy of the people who use this website, our customers and the people who call them seriously. This policy explains how we handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
Who we are
ByteVoice is a product of StrategyByte Pty Ltd (ABN 21 679 490 727, ACN 679 490 727), Level 15, 60 Station Street East, Parramatta NSW 2150. In this policy, “we”, “us” and “our” mean StrategyByte Pty Ltd and ByteVoice.
What this policy covers
This policy covers personal information we handle when:
- you visit this website or fill in one of its forms,
- you book a demo, subscribe to product updates or contact us, and
- a business that uses ByteVoice (our customer) has ByteVoice answer its phone calls.
When ByteVoice answers calls for a business, that business decides why and how its callers’ information is used, and we handle it on the business’s behalf under our agreement with them. If you called a business that uses ByteVoice, that business’s own privacy policy also applies, and it is usually the best first contact for questions about your information.
What we collect
Information you give us
- Demo bookings: your name, email address, phone number, business name, industry, the plan you are interested in, your preferred date and time, and any message you add.
- Product updates: your email address.
- Emails and calls to us: whatever you choose to tell us.
Information collected automatically
- Technical information: when you use the website, our hosting provider receives standard technical details such as your IP address, browser type and the pages requested. We use your IP address briefly to limit repeated form submissions and protect the site from abuse.
- Browser storage: the website stores a few small, non-identifying preferences in your browser (your chat language and sound on or off). These are not used to track you.
- Cookies and analytics: Google Analytics, Microsoft Clarity and the Meta Pixel. See Cookies and analytics.
Voice guide
If the website offers a spoken voice guide and you choose to start it, your microphone audio is streamed so the guide can answer you. It is only used to run that conversation. You will be asked for microphone permission first, and you can stop at any time.
Calls handled by ByteVoice
When ByteVoice answers a call for one of our customers, it may handle:
- the caller’s phone number and the time and length of the call,
- what the caller says, as audio, a transcript and a call summary,
- details the caller gives to make or change a booking, such as their name, date of birth or appointment needs, and
- for health businesses, health information the caller chooses to share. This is sensitive information under the Privacy Act and is handled with extra care.
Callers are told at the start of a call when it is being recorded, in line with state and territory surveillance and listening-device laws. ByteVoice introduces itself as the business’s assistant, and callers can ask to speak with a person.
ByteVoice follows the business’s own rules for questions and routing. It does not give medical, legal or financial advice, and urgent calls are handed to the business’s team or the caller is told to call 000.
How we use it
- to answer and route calls, make bookings and send confirmations and reminders for our customers,
- to respond to demo requests and enquiries, and to provide and support our service,
- to send product updates you have subscribed to (every email has a way to unsubscribe),
- to keep the website and service secure, and to detect and prevent misuse, and
- to meet our legal obligations.
We do not sell personal information, and we do not use callers’ information for our own marketing. Calls are never used to improve or train AI models.
Storage and overseas disclosure
On the Standard, Pro and Enterprise plans, call recordings, transcripts and caller details are stored in Australia. Some processing, such as speech recognition and AI responses, may happen outside Australia depending on your set-up, and we confirm where each part of your service runs before you start.
On the Starter plan, call data may be stored outside Australia. We tell each business which providers and countries apply to its service before it starts.
Our website is hosted by DigitalOcean in its Sydney, Australia data centre. The website’s chat and “Talk to Byte” demo, and the analytics and advertising tools it uses, rely on providers that may process information outside Australia, including in the United States (see Who we share it with).
Where we disclose personal information overseas, we take reasonable steps to make sure it is handled in line with the APPs.
Security and retention
We use reasonable technical and organisational measures to protect personal information from misuse, interference, loss and unauthorised access, change or disclosure. These include encryption in transit, restricted access and access logging.
We keep enquiries and call data only as long as needed to provide the service and meet legal obligations, then delete or de-identify it. Contact us for specific retention periods.
Access and correction
You can ask for the personal information we hold about you, and ask us to correct it. Email info@bytevoice.com.au. We will respond within 30 days. We may need to confirm your identity first, and in limited cases the law allows us to refuse (we will tell you why).
For information from a call to a business that uses ByteVoice, please contact that business first. We will help them respond.
Data breaches
If a data breach is likely to cause serious harm, we will assess it promptly and notify the people affected and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme. For call data, we will also tell the affected businesses straight away, so they can meet their own obligations.
Questions and complaints
If you have a question or a complaint about how we handle personal information, email info@bytevoice.com.au. We aim to resolve complaints within 30 days.
If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated. See also our legal terms.
